This Privacy Policy explains how we collect, use, share and protect personal information when you visit our websites, make an enquiry, book accommodation or a rental car with us, or communicate with us. We handle personal information in accordance with Japan’s Act on the Protection of Personal Information (Act No. 57 of 2003, “APPI”) and other applicable laws.

1. Who we are

We are West Valley 合同会社 (West Valley G.K.), trading as Hakuba White Fox Co. (“Hakuba White Fox”, “we”, “us”, “our”).

We are the business operator responsible for the personal information described in this policy.

2. Scope

This policy applies to personal information we handle in connection with:

  • hakubawhitefox.com, including its Japanese-language pages (for example /ja);
  • hakubacarrental.com and www.whitefoxcarrental.com;
  • www.vivehakuba.com;
  • our online booking and quote pages operated with our booking engine provider (hakubawhitefox.evoke.jp and quote-hakubawhitefox.evoke.jp);
  • our holiday accommodation services (chalets and homes in Hakuba);
  • our car rental services; and
  • enquiries and communications with us by email, phone, WhatsApp, social media, advertising lead forms or in person.

One policy covers both our accommodation and car rental services. Third-party websites and platforms that we link to (for example online travel agencies, Google or Meta) have their own privacy policies, which apply to your use of those services.

3. What personal information we collect

Depending on how you deal with us, we may collect:

  • Contact details: name, email address, phone number (including WhatsApp number), country of residence, postal address.
  • Enquiry details: stay dates, number of guests, number and ages of children, preferred property, car rental interest (dates, vehicle type, pick-up/drop-off), and any message you send us.
  • Booking details: reservation details, guest names, arrival and departure times, special requests, booking history and correspondence.
  • Guest registration details: information we are required to record as a lodging operator under Japanese law, such as name, address and contact details and, for guests who do not have an address in Japan, nationality and passport number (we may also be required to keep a copy of the passport).
  • Car rental details: driver name, date of birth, driver’s licence and International Driving Permit (or equivalent) details, rental dates, vehicle, and information about incidents, damage, fines or tolls during the rental.
  • Payment details: amounts paid, payment status, refunds and transaction references. Card payments are processed by payment processors engaged by us or our booking partners (see section 8).
  • Preferences and feedback: dietary or accessibility needs you choose to tell us about, reviews, survey responses and marketing preferences.
  • Online and device information: IP address, browser and device type, pages viewed, referring site, approximate location, and identifiers set by cookies, pixels and similar technologies, including advertising click identifiers (see section 6).

Sensitive information. We do not ask for sensitive information (such as health information) unless it is needed to provide a service you have requested — for example, an accessibility or allergy requirement — and we only use it for that purpose with your consent.

4. How we collect it

We collect personal information:

  • directly from you, when you fill in an enquiry, quote or booking form on our websites, email or call us, message us on WhatsApp or social media, check in, or rent a car;
  • through advertising lead forms, such as Meta (Facebook/Instagram) Instant Forms and Google Ads lead form assets, when you choose to submit your details to us through those forms;
  • from booking partners, such as online travel agencies, travel agents and our booking engine, when you book through them;
  • from people booking on your behalf, such as the lead guest of a group (if you provide information about other guests, please make sure they are aware of this policy); and
  • automatically, through cookies, analytics and advertising technologies when you use our websites (section 6).

5. Why we use it

We use personal information for the following purposes:

  1. to respond to enquiries and provide quotes for accommodation and car rental;
  2. to take, manage and confirm bookings, and to provide accommodation, car rental and related guest services;
  3. to process payments, deposits, refunds and security bonds;
  4. to keep guest registers and other records required by Japanese lodging, tax and other laws, and to comply with legal obligations and lawful requests from authorities;
  5. to communicate with you before, during and after your stay or rental (including by email, phone and WhatsApp);
  6. to handle damage, incidents, traffic or parking fines, tolls, complaints and disputes;
  7. to send you news and offers about our accommodation and car rental, where permitted (section 14);
  8. to measure and improve our websites, services and advertising, including analytics and conversion measurement;
  9. to show you relevant advertising on platforms such as Google and Meta, including remarketing and audience matching (section 6);
  10. to protect the safety and security of guests, staff, properties and vehicles, and to prevent fraud and misuse; and
  11. for other purposes we tell you about when we collect the information, or with your consent.

In plain language: we use your information to do what you asked us to do (answer your enquiry, provide your booking), to meet our legal obligations, for our reasonable business interests (running, improving and promoting our business safely), and, where required, with your consent (for example, marketing cookies and marketing emails). We will not use personal information beyond what is necessary for these purposes without your consent, except where permitted by law.

6. Cookies, analytics and advertising

What these technologies are. Cookies are small files stored in your browser. Pixels, tags and similar technologies are small pieces of code that send information from your browser to us or to a third party when you visit a page or take an action (such as submitting an enquiry).

Types we use:

  • Strictly necessary: needed for the website and booking pages to work (for example security, load balancing, remembering your consent choice). These cannot be switched off.
  • Analytics: help us understand how visitors use our websites so we can improve them.
  • Advertising / marketing: help us measure the results of our ads, show ads to people who have visited our websites, and reach people likely to be interested in our services.

Enhanced Conversions, Conversions API and audience matching. When you submit an enquiry or booking, we may send certain information — such as your email address or phone number — to Google and/or Meta in a hashed (one-way encrypted) form, either from your browser or from our systems. These platforms use it to match the action to their user accounts so we can measure whether our ads worked. We may also upload hashed contact lists of past enquirers and guests to Google (Customer Match) and Meta (Custom Audiences) to show you relevant ads, to exclude you from ads, or to find similar audiences. Google and Meta use matched data in accordance with their own terms and privacy policies. You can opt out at any time — see “Your choices” below.

Information sent to third parties. Information sent through these tools may include the URL of the page you viewed, actions taken, IP address, browser and device information, cookie identifiers and advertising click identifiers (such as gclid or fbclid). Where a third party may link this information to you as an individual, we handle it in accordance with the APPI rules on personally referable information.

Consent. We use a cookie consent banner on our websites. Analytics and advertising cookies and tags are only used in line with the choices you make in that banner. We use Google Consent Mode (v2), which tells Google tags whether you have consented to analytics and advertising storage and to the use of data for advertising and personalisation; where you have not consented, Google tags adjust their behaviour accordingly. You can change your choice at any time using the cookie settings link on our website.

Your choices. In addition to our cookie banner, you can:

  • block or delete cookies in your browser settings (some site features may not work);
  • manage Google ad personalisation at adssettings.google.com and install the Google Analytics opt-out browser add-on (tools.google.com/dlpage/gaoptout);
  • manage Meta ad preferences in your Facebook or Instagram account settings (“Ad preferences”); and
  • ask us not to include your details in Customer Match or Custom Audience uploads by emailing operations@hakubawhitefox.com.

7. WhatsApp and messaging

Many guests prefer to talk to us by WhatsApp, and we use the WhatsApp Business service (provided by Meta) to answer enquiries and communicate about bookings and rentals. When you message us on WhatsApp, we and WhatsApp/Meta process your phone number, profile name and the content of messages, in accordance with WhatsApp’s own terms and privacy policy. We use WhatsApp messages only to deal with your enquiry or booking and related service communication, and we do not send marketing messages by WhatsApp unless you have agreed to receive them.

We may also offer LINE (provided by LY Corporation) as a messaging channel in the future, particularly for guests in Japan. If we do, the same principles will apply.

Please do not send full payment card details by email, WhatsApp or any other messaging service.

8. Sharing with service providers and others

We do not sell your personal information. We share it only as described below.

Service providers (entrusted handling). We use trusted service providers to run our business, and we provide personal information to them only as needed for the services they perform for us. We select them carefully and supervise them as required under the APPI. Categories include:

  • Property management system: RoomBoss (reservations, guest records and operations).
  • Booking engine: Evoke (online booking and quote pages at hakubawhitefox.evoke.jp and quote-hakubawhitefox.evoke.jp).
  • Email, CRM and productivity: Microsoft 365 / Microsoft Outlook (our email and inbox, where enquiry and guest correspondence is held).
  • Email marketing: an email marketing platform such as Mailchimp (Intuit Inc.).
  • Website hosting and IT providers.
  • Payment: payment processors and card processors engaged by us or our booking partners, who process card payments, deposits and refunds.
  • Analytics and advertising: Google (Google Analytics, Google Ads, Google Tag Manager) and Meta (Meta Pixel, Conversions API, Instant Forms).
  • Messaging: WhatsApp (Meta) and, if introduced, LINE.
  • Professional advisers such as accountants, tax advisers, lawyers and insurers.

Others. We may also share personal information:

  • with booking partners (such as online travel agencies or travel agents) where you booked through them, as needed to manage your booking;
  • between our accommodation and car rental services, which are operated by the same company (West Valley 合同会社), to provide the services you have requested;
  • with insurers, vehicle repairers, and authorities (for example police or road authorities) in connection with incidents, damage, fines or tolls relating to a rental car;
  • where required or permitted by law, such as responding to lawful requests from police, tax or immigration authorities, or to protect life, body or property; and
  • with a successor business in the event of a merger, business transfer or similar transaction, subject to this policy.

Other than these cases, we do not provide personal data to third parties without your prior consent, except where permitted by the APPI.

9. Overseas transfer

Some of our service providers store or process personal information outside Japan. For example, Google, Meta, Microsoft and Mailchimp may process information in the United States, Ireland/the European Union and other countries where they or their affiliates operate, and RoomBoss and other providers may store data on servers located outside Japan (for example, in Australia or on international cloud infrastructure).

Where we provide personal data to a third party in a foreign country, we do so in accordance with Article 28 of the APPI — either with your consent after providing the required information, or where the recipient has put in place measures equivalent to those required of businesses under the APPI (for example through contracts, data processing terms and the recipient’s own privacy and security programmes). Where we rely on such measures, we take the steps required by the APPI to confirm they continue to be implemented, and on request we will provide information about the recipient’s measures and the foreign country’s personal information protection system. Where personal data is stored on servers abroad, we take into account the personal information protection system in that country when applying our security measures (section 11).

10. Retention

We keep personal information only for as long as we need it for the purposes in this policy or as required by law, and then securely delete or anonymise it. As a guide:

  • Booking, payment and accounting records: generally 7 years from the end of the relevant financial year, in line with Japanese tax and accounting record-keeping requirements (longer if required by law).
  • Guest registers: at least the period required by Japanese lodging laws (generally 3 years), and as part of booking records thereafter where needed.
  • Car rental records: for the period needed to manage the rental, any damage, fines, tolls, insurance claims or disputes, and as required for tax and accounting records.
  • Enquiries that do not lead to a booking: while they remain useful to respond to you and follow up on your enquiry (generally up to 2 years), then deleted or anonymised.
  • Marketing lists: until you unsubscribe or ask us to stop. After you unsubscribe, we keep a minimal record (such as your email address) on a suppression list so we do not contact you again.
  • Cookies and analytics data: according to the cookie’s lifetime and the retention settings of the relevant tool (for example, Google Analytics data retention settings).

11. Security

We take necessary and appropriate measures to prevent leakage, loss or damage of personal data and otherwise to manage it securely, including:

  • Organisational measures: a designated person responsible for handling personal information; internal rules on how personal data is handled; procedures for reporting and responding to incidents.
  • Personnel measures: training staff on the proper handling of personal information and confidentiality.
  • Physical measures: controlling access to areas and devices where personal information is handled, and preventing theft or loss of documents, devices and media (including passport copies and driver’s licence records).
  • Technical measures: access controls and user authentication on our systems, limiting access to staff who need it, and using reputable service providers with security protections.
  • Understanding the external environment: where personal data is handled in foreign countries, we take into account the personal information protection systems of those countries (section 9).

No method of transmission or storage is completely secure. If a data breach occurs that is likely to harm individuals’ rights and interests, we will report to the Personal Information Protection Commission and notify affected individuals as required by the APPI (and, where applicable, other laws).

12. Your rights

Under Japan’s APPI, you may ask us to:

  • notify you of the purpose of use of your retained personal data;
  • disclose your retained personal data held by us, and records of provision to or receipt from third parties (you may ask for disclosure electronically or in writing);
  • correct, add to or delete your retained personal data if it is inaccurate;
  • cease using or delete your retained personal data if it is being used beyond the stated purposes, was obtained improperly, is no longer needed, or where its handling may harm your rights or legitimate interests, as permitted by the APPI; and
  • cease providing your retained personal data to third parties (including overseas third parties) where the APPI permits.

You may also make a complaint about our handling of personal information. See section 13 for how to make a request. We may not be able to fulfil a request where the APPI allows us to refuse (for example, where it would seriously interfere with our business or violate other laws); if so, we will tell you why. If you are not satisfied with our response, you may contact the Personal Information Protection Commission of Japan (www.ppc.go.jp).

Note for guests in Australia. If you are in Australia, you may also have rights under the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs) to the extent they apply to us, including to access and seek correction of your personal information and to complain about a breach of the APPs. Please contact us at operations@hakubawhitefox.com. As described in sections 8 and 9, we are a Japanese business and your information is held in Japan and disclosed to overseas recipients, including service providers in the United States, Ireland/EU and Australia. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (www.oaic.gov.au).

Note for visitors from the EU/UK and elsewhere. If you are in the European Union, the United Kingdom or another country with its own privacy laws, you may have additional rights under those laws (for example, to object to processing or to withdraw consent to cookies). We will respond to such requests in line with the laws that apply to us. You can withdraw cookie consent at any time through our cookie settings.

Request procedure.

  1. Email operations@hakubawhitefox.com with your name, contact details, the request you are making, and enough information for us to locate your information (for example, booking reference and dates).
  2. We will verify your identity (and, for a representative, their authority to act for you — for example a power of attorney or proof of guardianship) before acting. We may ask for identification documents for this purpose.
  3. We will respond without undue delay and by the method you request where reasonably possible.

Fee. There is no charge for questions, correction, cease-of-use or deletion requests, or complaints. For a request to be notified of the purpose of use or for disclosure of retained personal data (including third-party provision records) under the APPI, we charge a handling fee of ¥1,000 per request, plus actual postage if the response is sent by mail. We will tell you how to pay before we process the request. Fees apply only where permitted by law.

14. Marketing emails and opt-out

We may send news, special offers and seasonal updates about our accommodation and car rental services to past guests and people who have made an enquiry with us, where permitted by law (including Japan’s Act on Regulation of Transmission of Specified Electronic Mail and, where applicable, Australia’s Spam Act 2003). We may use an email marketing platform such as Mailchimp to send these emails and to see whether they are opened or clicked.

You can unsubscribe at any time by clicking the “unsubscribe” link in any marketing email, or by emailing operations@hakubawhitefox.com. Unsubscribing will not affect service messages about an existing booking or rental (such as confirmations, arrival information and invoices).

15. Changes to this policy

We may update this policy from time to time, for example to reflect changes in our services, the tools we use or the law. We will post the updated policy on this page with a new effective date, and where changes are significant we will take reasonable steps to let you know (for example by a notice on our website). Where the law requires your consent to a change, we will ask for it.

16. Effective date

This policy is effective from 7 October 2026.

If there is any inconsistency between the English and Japanese versions of this policy, the Japanese version prevails to the extent required by Japanese law; otherwise the two versions are intended to have the same meaning.

宿泊事業とレンタカー事業は、いずれも当社(West Valley 合同会社)が運営しており、本ポリシーは両事業に共通して適用されます。当社サイトからリンクする第三者のウェブサイトやサービス(オンライン旅行会社、Google、Meta 等)における個人情報の取扱いについては、各事業者のプライバシーポリシーをご確認ください。

3. 取得する個人情報

当社は、お客様とのやり取りの内容に応じて、以下の情報を取得することがあります。

  • 連絡先情報: 氏名、メールアドレス、電話番号(WhatsApp の番号を含みます。)、居住国、住所
  • お問い合わせ内容: 宿泊希望日、宿泊人数、お子様の人数・年齢、希望物件、レンタカーのご希望(利用日、車種、貸渡し・返却場所)、その他メッセージの内容
  • 予約情報: 予約内容、宿泊者氏名、到着・出発時刻、ご要望、利用履歴、やり取りの記録
  • 宿泊者名簿の情報: 宿泊事業者として法令上記録が義務付けられている情報(氏名、住所、連絡先等。日本国内に住所を有しない外国人のお客様については、国籍および旅券番号。旅券の写しの保存が求められる場合があります。)
  • レンタカーに関する情報: 運転者の氏名、生年月日、運転免許証および国際運転免許証(またはこれに相当するもの)の情報、利用期間、車両、利用中の事故・損傷・違反金・通行料金等に関する情報
  • お支払いに関する情報: 支払金額、支払状況、返金、取引番号等(カード決済は、当社または当社の予約パートナーが委託する決済代行事業者・カード決済事業者が処理します。第8項参照。)
  • ご希望・ご意見: お客様が任意にお知らせいただく食事やバリアフリーに関するご要望、レビュー、アンケート回答、広告・メール配信に関するご希望
  • オンライン・端末に関する情報: IP アドレス、ブラウザ・端末の種類、閲覧ページ、参照元サイト、おおよその位置情報、Cookie・ピクセル等により付与される識別子(広告クリック識別子を含みます。)(第6項参照)

要配慮個人情報について: 当社は、ご依頼のサービス提供に必要な場合(例:バリアフリーやアレルギーへの対応)を除き、要配慮個人情報(健康状態等)の提供を求めません。取得する場合は、お客様の同意を得たうえで、その目的の範囲内でのみ利用します。

4. 取得方法

当社は、以下の方法で個人情報を取得します。

  • お客様から直接: 当社ウェブサイトのお問い合わせ・見積・予約フォームへの入力、メール・電話、WhatsApp や SNS でのメッセージ、チェックイン時、レンタカーの貸渡し時
  • 広告のリードフォーム経由: Meta(Facebook/Instagram)のインスタントフォームや Google 広告のリードフォームアセット等において、お客様が当社への情報送信を選択された場合
  • 予約パートナーから: オンライン旅行会社、旅行代理店、予約エンジン等を通じてご予約いただいた場合
  • 代表者の方から: グループの代表者様等がお客様に代わって予約される場合(他の宿泊者の情報をご提供いただく場合は、その方に本ポリシーの内容をお伝えください。)
  • 自動的に: 当社ウェブサイトのご利用時に、Cookie、アクセス解析ツール、広告技術を通じて(第6項参照)

5. 利用目的

当社は、取得した個人情報を以下の目的で利用します。

  1. 宿泊およびレンタカーに関するお問い合わせへの対応、見積りの提示
  2. 予約の受付・管理・確認、宿泊・レンタカーおよび関連サービスの提供
  3. 料金、予約金、返金、保証金(デポジット)の決済・処理
  4. 旅館業関係法令、税法その他の法令に基づく宿泊者名簿等の作成・保存、法令上の義務の履行および官公庁からの適法な要請への対応
  5. ご滞在・ご利用の前後および期間中のご連絡(メール、電話、WhatsApp 等)
  6. 損傷、事故、交通違反・駐車違反に係る反則金等、通行料金、苦情、紛争への対応
  7. 法令で認められる範囲での、宿泊・レンタカーに関するお知らせやキャンペーン情報の送付(第14項参照)
  8. ウェブサイト、サービスおよび広告の効果測定・分析・改善(コンバージョン計測を含みます。)
  9. Google や Meta 等のプラットフォームにおける、お客様の関心に沿った広告の表示(リマーケティングおよびオーディエンスマッチングを含みます。第6項参照)
  10. お客様・従業員・物件・車両の安全確保、不正行為・不正利用の防止
  11. 取得時にお知らせしたその他の目的、またはお客様の同意を得た目的

当社は、法令で認められる場合を除き、あらかじめお客様の同意を得ることなく、上記の利用目的の達成に必要な範囲を超えて個人情報を取り扱いません。

6. Cookie・アクセス解析・広告

Cookie 等について: Cookie は、お客様のブラウザに保存される小さなファイルです。ピクセルやタグ等の類似技術は、ページの閲覧やお問い合わせの送信等の際に、お客様のブラウザから当社または第三者に情報を送信するプログラムです。

利用する Cookie の種類:

  • 必須 Cookie: ウェブサイトや予約ページの動作に必要なもの(セキュリティ、負荷分散、Cookie 同意設定の記憶等)。無効にすることはできません。
  • 分析 Cookie: ウェブサイトの利用状況を把握し、改善するためのもの

拡張コンバージョン、コンバージョン API およびオーディエンスマッチングについて: お客様がお問い合わせや予約を送信された際、当社は、メールアドレスや電話番号等の情報をハッシュ化(不可逆的に暗号化)した形で、お客様のブラウザまたは当社のシステムから Google および/または Meta に送信することがあります。これらの事業者は、当該情報を自社のユーザーアカウントと照合し、当社が広告の効果を測定できるようにします。また当社は、過去にお問い合わせいただいた方や宿泊・利用いただいたお客様のハッシュ化した連絡先リストを Google(カスタマーマッチ)および Meta(カスタムオーディエンス)にアップロードし、関連する広告の表示、広告配信対象からの除外、類似ユーザーへの配信に利用することがあります。照合されたデータは、各事業者の規約およびプライバシーポリシーに従って取り扱われます。お客様はいつでもこれを拒否することができます(下記「お客様による選択」参照)。

第三者に送信される情報: これらのツールにより送信される情報には、閲覧ページの URL、操作内容、IP アドレス、ブラウザ・端末情報、Cookie 識別子、広告クリック識別子(gclid、fbclid 等)が含まれる場合があります。送信先の第三者が当該情報を個人データとして取得することが想定される場合、当社は個人情報保護法の個人関連情報に関する規定に従って取り扱います。

同意について: 当社ウェブサイトでは、Cookie 同意バナーを使用しています。分析・広告用の Cookie およびタグは、お客様がバナーで選択された内容に従ってのみ使用されます。当社は Google 同意モード(Consent Mode v2) を利用しており、分析・広告用ストレージの使用、および広告やパーソナライズのためのデータ利用についてのお客様の同意の有無を Google のタグに伝えます。同意をいただいていない場合、Google のタグはそれに応じて動作を調整します。同意内容は、当社ウェブサイトの Cookie 設定リンクからいつでも変更できます。

お客様による選択: Cookie 同意バナーのほか、以下の方法をご利用いただけます。

  • ブラウザの設定による Cookie のブロック・削除(一部機能がご利用いただけなくなる場合があります。)
  • Google の広告設定(adssettings.google.com)によるパーソナライズ広告の管理、および Google アナリティクス オプトアウト アドオン(tools.google.com/dlpage/gaoptout)の利用
  • Facebook/Instagram のアカウント設定(「広告設定」)による Meta 広告の管理
  • operations@hakubawhitefox.com へのご連絡による、カスタマーマッチ・カスタムオーディエンスへのアップロード対象からの除外のご依頼

7. WhatsApp 等のメッセージサービス

当社は、お問い合わせへの回答や予約・レンタカーに関するご連絡のため、WhatsApp Business(Meta 提供)を利用しています。WhatsApp で当社にメッセージを送信された場合、当社および WhatsApp/Meta は、お客様の電話番号、プロフィール名、メッセージの内容を取り扱います(WhatsApp における取扱いは同社の規約およびプライバシーポリシーに従います。)。当社は、WhatsApp のメッセージを、お問い合わせ・予約への対応および関連するご連絡のためにのみ利用し、お客様の同意なく WhatsApp で広告・宣伝メッセージを送信することはありません。

当社は、将来、主に国内のお客様向けに LINE(LINE ヤフー株式会社提供)を連絡手段として導入する場合があります。その場合も、上記と同様の方針で取り扱います。

クレジットカード番号等の決済情報は、メール、WhatsApp その他のメッセージサービスで送信しないでください。

8. 業務委託先および第三者への提供

当社は、お客様の個人情報を販売することはありません。以下の場合に限り、個人情報を共有します。

業務委託先: 当社は、事業運営のために信頼できる業務委託先を利用しており、委託業務の遂行に必要な範囲で個人情報の取扱いを委託します。委託先は適切に選定し、個人情報保護法に基づき必要かつ適切な監督を行います。主な委託先の分類は以下のとおりです。

  • 宿泊管理システム(PMS): RoomBoss(予約、宿泊者情報、運営管理)
  • 予約エンジン: Evoke(hakubawhitefox.evoke.jp および quote-hakubawhitefox.evoke.jp のオンライン予約・見積ページ)
  • メール・顧客管理・業務ツール: Microsoft 365/Microsoft Outlook(お問い合わせやお客様とのやり取りを保管するメールシステム)
  • メール配信: Mailchimp(Intuit Inc.)等のメール配信サービス
  • ウェブサイトのホスティング・IT サービス事業者
  • 決済: 当社または当社の予約パートナーが委託する決済代行事業者・カード決済事業者(カード決済、予約金、返金の処理)
  • アクセス解析・広告: Google(Google アナリティクス、Google 広告、Google タグマネージャー)、Meta(Meta ピクセル、コンバージョン API、インスタントフォーム)
  • メッセージサービス: WhatsApp(Meta)、導入した場合は LINE
  • 専門家: 税理士、会計士、弁護士、保険会社等

その他の提供: 当社は、以下の場合にも個人情報を提供することがあります。

  • オンライン旅行会社や旅行代理店等の予約パートナーを通じてご予約いただいた場合に、予約管理に必要な範囲で当該パートナーと共有する場合
  • 同一事業者(West Valley 合同会社)が運営する宿泊事業とレンタカー事業の間で、お客様がご依頼されたサービスを提供するために利用する場合
  • レンタカーの事故、損傷、違反金、通行料金等に関して、保険会社、修理業者、官公庁(警察、道路管理者等)に提供する場合
  • 警察、税務当局、出入国在留管理当局等からの適法な要請への対応、人の生命・身体・財産の保護のために必要な場合等、法令に基づく場合または法令で認められる場合
  • 合併、事業譲渡その他の事由により事業が承継される場合(承継先においても本ポリシーに従います。)

上記のほか、個人情報保護法で認められる場合を除き、あらかじめお客様の同意を得ることなく個人データを第三者に提供することはありません。

9. 外国にある第三者への提供

当社の業務委託先の一部は、日本国外で個人情報を保存・処理しています。例えば、Google、Meta、Microsoft、Mailchimp は、米国、アイルランド・EU その他同社またはその関連会社が事業を行う国において情報を処理する場合があり、RoomBoss その他の委託先は、日本国外(例:オーストラリアや国際的なクラウド基盤)に所在するサーバーにデータを保存する場合があります。

当社は、外国にある第三者に個人データを提供する場合、個人情報保護法第28条に従い、必要な情報を提供したうえでお客様の同意を得るか、または提供先が個人情報保護法上の事業者が講ずべき措置に相当する措置(契約、データ処理に関する規約、提供先自身のプライバシー・セキュリティ体制等による措置)を継続的に講ずるための体制を整備していることを確認したうえで提供します。後者の場合、当社は当該措置の継続的な実施を確保するために法令上必要な措置を講じるとともに、お客様のご請求に応じて、提供先が講じる措置および当該外国の個人情報保護制度に関する情報を提供します。また、外国のサーバーで個人データを保管する場合は、当該国の個人情報保護制度を把握したうえで安全管理措置を講じます(第11項参照)。

10. 保存期間

当社は、本ポリシーに定める目的に必要な期間または法令で定められた期間に限り個人情報を保存し、その後は安全に削除または匿名化します。目安は以下のとおりです。

  • 予約・決済・会計に関する記録: 原則として、該当する事業年度の終了後 7年間(日本の税法・会計上の帳簿書類の保存義務に準じます。法令によりこれより長い期間が求められる場合はその期間)
  • 宿泊者名簿: 旅館業関係法令で定められた期間(原則3年間)以上。その後も必要に応じて予約記録の一部として保存します。
  • レンタカーに関する記録: 貸渡しの管理、損傷・違反金・通行料金・保険請求・紛争への対応に必要な期間、および税務・会計記録として必要な期間
  • ご予約に至らなかったお問い合わせ: お問い合わせへの回答・フォローアップに有用な期間(原則として最長2年間)。その後、削除または匿名化します。
  • メール配信リスト: 配信停止のお申し出があるまで。配信停止後は、再送信を防止するため、最小限の情報(メールアドレス等)を配信停止リストに保存します。
  • Cookie・アクセス解析データ: 各 Cookie の有効期間および各ツールの保存設定(Google アナリティクスのデータ保持設定等)に従います。

11. 安全管理措置

当社は、個人データの漏えい、滅失または毀損の防止その他の安全管理のため、以下を含む必要かつ適切な措置を講じています。

  • 組織的安全管理措置: 個人情報の取扱いに関する責任者の設置、取扱規程の整備、漏えい等事案の報告・対応手順の整備
  • 人的安全管理措置: 従業員に対する個人情報の適正な取扱いおよび秘密保持に関する教育
  • 物理的安全管理措置: 個人情報を取り扱う区域・機器へのアクセス管理、書類・機器・電子媒体(旅券の写しや運転免許証の記録を含みます。)の盗難・紛失の防止
  • 技術的安全管理措置: システムへのアクセス制御・利用者認証、必要な従業員に限定したアクセス権限の付与、セキュリティ対策を講じた信頼できるサービス事業者の利用
  • 外的環境の把握: 外国において個人データを取り扱う場合における、当該外国の個人情報保護制度の把握(第9項参照)

なお、通信・保存の方法において完全に安全なものは存在しません。個人の権利利益を害するおそれのある漏えい等が発生した場合、当社は、個人情報保護法(および適用されるその他の法令)に従い、個人情報保護委員会への報告および本人への通知を行います。

12. お客様の権利

個人情報保護法に基づき、お客様は当社に対し、以下を請求することができます。

  • 保有個人データの利用目的の通知
  • 保有個人データおよび第三者提供記録の開示(電磁的記録または書面による開示方法をご指定いただけます。)
  • 保有個人データの内容が事実でない場合の訂正、追加または削除
  • 保有個人データが利用目的の範囲を超えて取り扱われている場合、不正に取得された場合、利用する必要がなくなった場合、またはお客様の権利・正当な利益が害されるおそれがある場合等、法令で定める場合における利用停止または消去
  • 法令で定める場合における、保有個人データの第三者(外国にある第三者を含みます。)への提供の停止

また、当社の個人情報の取扱いに関する苦情をお申し出いただくことができます。請求方法は第13項をご確認ください。法令で拒否が認められる場合(当社の業務の適正な実施に著しい支障を及ぼすおそれがある場合や、他の法令に違反する場合等)は、ご請求に応じられないことがあり、その場合は理由をご説明します。当社の対応にご納得いただけない場合は、個人情報保護委員会(www.ppc.go.jp)にご相談いただくこともできます。

オーストラリアのお客様へ: オーストラリアにお住まいのお客様は、当社に適用される範囲で、1988年プライバシー法(Privacy Act 1988 (Cth)) およびオーストラリアプライバシー原則(APPs)に基づき、個人情報へのアクセス・訂正を求める権利や、APPs の違反について苦情を申し立てる権利を有する場合があります。operations@hakubawhitefox.com までご連絡ください。第8項・第9項のとおり、当社は日本の事業者であり、お客様の情報は日本で保管され、米国、アイルランド・EU、オーストラリアの業務委託先を含む海外の受領者に提供されます。当社の対応にご納得いただけない場合は、オーストラリア情報コミッショナー事務局(OAIC、www.oaic.gov.au)にご相談いただくこともできます。

EU・英国その他の地域のお客様へ: EU、英国その他独自の個人情報保護法令がある国・地域にお住まいのお客様は、当該法令に基づく追加の権利(処理への異議、Cookie に関する同意の撤回等)を有する場合があります。当社は、当社に適用される法令に従ってご請求に対応します。Cookie に関する同意は、Cookie 設定からいつでも撤回できます。

請求の手続き:

  1. operations@hakubawhitefox.com 宛てに、氏名、連絡先、請求の内容、および当社が該当する情報を特定するために必要な情報(予約番号、宿泊日等)をお送りください。
  2. 当社は、ご本人であること(代理人による請求の場合は、委任状や法定代理人であることを証する書類等による代理権)を確認したうえで対応します。確認のため、本人確認書類のご提示をお願いする場合があります。
  3. 当社は、遅滞なく、可能な限りお客様がご指定の方法で回答します。

手数料: ご質問、訂正・利用停止・消去等の請求、苦情のお申し出には手数料はかかりません。個人情報保護法に基づく利用目的の通知または保有個人データ(第三者提供記録を含みます。)の開示の請求については、1件につき 1,000円 の手数料(郵送による回答の場合は実費の郵送料を加算)を申し受けます(同法第38条)。お支払方法は、手続きの前にご案内します。手数料は、法令で認められる場合に限り申し受けます。

14. 広告・宣伝メールとその停止

当社は、法令(特定電子メールの送信の適正化等に関する法律、および適用される場合はオーストラリアの Spam Act 2003 を含みます。)で認められる範囲で、過去にご宿泊・ご利用いただいたお客様やお問い合わせいただいた方に、宿泊・レンタカーに関するお知らせ、特別プラン、季節の情報をメールでお送りすることがあります。これらのメールの配信および開封・クリック状況の確認のため、Mailchimp 等のメール配信サービスを利用する場合があります。

配信は、各メールに記載の「配信停止(unsubscribe)」リンク、または operations@hakubawhitefox.com へのご連絡により、いつでも停止できます。配信を停止された場合でも、既存の予約・レンタカーに関するご連絡(予約確認、到着案内、請求書等)は引き続きお送りします。

15. 本ポリシーの変更

当社は、サービス内容、利用するツールまたは法令の変更等に応じて、本ポリシーを変更することがあります。変更後のポリシーは、新しい制定・改定日とともに本ページに掲載します。重要な変更の場合は、当社ウェブサイトでのお知らせ等、合理的な方法によりお知らせします。法令上お客様の同意が必要な変更については、同意を取得します。

16. 制定日

本ポリシーは 2026年10月7日 から適用されます。

本ポリシーの英語版と日本語版の間に相違がある場合、日本法上必要な範囲で日本語版が優先します。それ以外の場合、両言語版は同一の内容を意図したものです。
